Privacy Policy

Last updated: November 4, 2026

Dentudio Dentists (“Dentudio,” “we,” “us” or “our”) respects your privacy and recognizes the importance of protecting personal and health information.

โ€‹

This Privacy Policy explains how we collect, use, disclose and safeguard personal information when you visit our website, contact our team, request an appointment or receive dental care.

Our handling of personal information is governed by British Columbia’s Personal Information Protection Act and other applicable privacy laws.

โ€‹

1. Personal information we collect

The information we collect depends on how you interact with our clinic.

It may include:

โ€‹

  • Contact and identification information: your name, date of birth, telephone number, email address, mailing address and information about an authorized representative.

  • Appointment and communication information: appointment requests, scheduling preferences, correspondence and information you choose to provide when contacting us.

  • Health and dental information: relevant medical and dental history, medications, allergies, examination findings, treatment plans, clinical notes, radiographs, photographs and consent records.

  • Billing and insurance information: information needed to process payments, prepare estimates, submit authorized insurance claims or administer applicable benefit programs.

  • Website information: IP address, browser and device information, pages visited, referring websites and interactions with website features.

We collect information directly from you whenever practical. With appropriate consent or other lawful authority, we may also receive relevant information from your representative, another healthcare provider, an insurer or a benefit administrator.

Please provide only the information reasonably needed for your enquiry or care.

โ€‹

2. How we use personal information

We use personal information for purposes connected with operating our clinic and providing services, including to:

  • Respond to enquiries and communicate with you.

  • Arrange, confirm and manage appointments.

  • Assess your oral health and provide dental care.

  • Maintain accurate patient records and support continuity of care.

  • Coordinate authorized referrals, laboratory services and treatment with other healthcare providers.

  • Process payments, prepare estimates and administer insurance or benefit claims.

  • Operate, maintain and protect our website and clinic systems.

  • Understand website use and measure marketing activities, where these tools are enabled and permitted.

  • Meet legal, regulatory and professional obligations.

We limit our collection, use and disclosure to reasonable purposes that we explain to you, or that are otherwise permitted or required by law.

โ€‹

3. Consent and your choices

We obtain consent where required to collect, use or disclose personal information. Depending on the sensitivity of the information and the circumstances, consent may be express or implied where legally appropriate.

Consent to dental treatment is addressed separately through the clinical informed-consent process. Visiting our website does not, by itself, constitute consent to treatment or optional promotional communications.

You may withdraw or limit consent by contacting us, subject to reasonable notice and legal or contractual restrictions. We will explain any consequences, including whether a restriction affects our ability to provide a requested service.

Withdrawing consent does not require us to delete records we must retain or prevent uses and disclosures otherwise authorized by law.

โ€‹

4. When we share personal information

We may share relevant personal information with:

  • Authorized members of our clinic team who need it for their responsibilities.

  • Dental laboratories, specialists and other healthcare providers involved in your care, with appropriate consent or other lawful authority.

  • Insurers, benefit administrators and payment providers when needed for authorized billing or claims.

  • Service providers supporting functions such as website hosting, appointment scheduling, communications, information technology and record management.

  • Regulators, public authorities or other parties where disclosure is legally permitted or required.

We limit sharing to information reasonably necessary for the relevant purpose. When a service provider handles information on our behalf, we require appropriate privacy and security protections and remain responsible as required by applicable law.

โ€‹

5. Website forms and online booking

Our website is hosted on Wix. Website hosting and form services may process information submitted through the website and technical information associated with your visit. Clinical records may be handled through separate clinic systems.

Online booking links may take you to a third-party scheduling service. Please review the privacy information provided by that service before submitting information.

General website forms and ordinary email are intended for enquiries and appointment coordination. Please avoid sending detailed medical histories, payment-card information, identification documents or other sensitive information through these channels unless our team has directed you to an appropriate method.

To arrange a suitable way to share sensitive information, call 604-370-1450.

โ€‹

6. Cookies, analytics and advertising technology

Our website uses cookies and similar technologies to support website functions and security.

Where enabled, analytics and advertising tools may also collect information about website visits and interactions, such as browser details, pages viewed, links clicked and device identifiers. This information is not necessarily anonymous.

We obtain consent for optional technologies where required by applicable law.

Where website consent controls are provided, you can use them to manage available preferences. You can also manage cookies through your browser settings. Restricting cookies may affect some website features, and browser settings do not necessarily control every tracking technology.

Contact us if you have questions about the technologies used on our website or the choices available to you.

โ€‹

7. Electronic communications and promotional content

We may contact you about enquiries, appointments, treatment, billing and other matters related to services you request.

If we send optional promotional emails or text messages, we do so only with the consent or other legal authority required by applicable law. You can unsubscribe using the instructions in a promotional message or by contacting us.

Choosing not to receive promotions does not affect your access to dental care. Necessary appointment, care or administrative communications may continue.

We seek separate, specific and voluntary consent before using identifiable patient photographs, testimonials or treatment information for promotional purposes. Consent to treatment does not, by itself, authorize promotional use.

8. Storage and service providers outside Canada

Depending on the services involved, personal information may be stored or processed in Canada or other countries.

Information processed outside Canada may be subject to the laws of that country, including lawful access by courts or government authorities.

You may contact us for information about our use of service providers and related privacy practices.

โ€‹

9. Safeguarding and retaining information

We use reasonable administrative, technical and physical safeguards appropriate to the sensitivity of the information to help protect it against unauthorized access, use, disclosure, alteration or loss.

Access is limited to people who need the information for authorized purposes. No method of electronic transmission or storage can be guaranteed completely secure.

We retain personal information for as long as necessary for the purposes for which it was collected and to meet applicable legal, regulatory and professional obligations. Dental records may need to be retained after your care ends.

When information is no longer required, we take appropriate steps to securely destroy it or make it no longer identifiable, subject to applicable requirements.

โ€‹

10. Accessing or correcting your information

You may request access to your personal information or ask us to correct inaccurate or incomplete information by contacting us in writing.

We may reasonably verify your identity or your authority to act for another person before responding. We respond within the time required by applicable privacy law, subject to permitted exceptions and extensions.

If a fee is permitted for providing access, we will give you an estimate in advance. We will explain any lawful restriction on access and any available review options.

Where a requested correction is justified, we will make the appropriate correction. If a correction is not made, we will document the request as required by law.

โ€‹

11. Children, youth and authorized representatives

We handle information about children and youth with regard to their capacity, privacy rights and the authority of parents, guardians or other representatives under applicable law.

A parent or guardian does not automatically have access to every record in every circumstance. Please contact us if you have questions about consent or access involving a child, youth or represented patient.
